Privacy Policy

This policy explains what personal information DJS Studios collects, why, and what rights you have over it. We've written it in plain English. If anything is unclear, just email us.

1. Who we are

DJS Studios ("we", "us") is a Reformer Pilates studio at Office 6, Regency House, Miles Gray Road, Basildon, SS14 3RW. We are the "data controller" for the information described here. You can reach us at info@djsstudios.com.

2. What we collect

  • Account details - your name, email address, phone number, and a password (stored securely in encrypted/hashed form; we never see it).
  • Booking information - the classes you book, attend or cancel, and your credit/membership status.
  • Health & wellbeing notes - any injuries, conditions, pregnancy or accessibility information you choose to share so we can keep your sessions safe (see section 4).
  • Payment information - handled entirely by our payment provider, Stripe. We never receive or store your card number; we only keep a record that a payment was made.
  • Technical data - a small amount of information needed to keep you signed in (see section 8). We do not use advertising or tracking cookies.

3. How we use it, and our legal basis

  • To create and manage your account, take bookings and payments, and run your membership - this is necessary to provide the service you've asked for (performance of a contract).
  • To run the studio safely and well, including contacting you about your bookings - our legitimate interests as a business.
  • To keep your sessions safe based on health information you share - with your explicit consent.
  • To send marketing (only if you opt in) - with your consent, which you can withdraw at any time.

4. Health information (special-category data)

Information about injuries, medical conditions, pregnancy or disability is "special-category" data under UK GDPR and is treated with extra care. We collect it only when you choose to share it, use it only to adapt your sessions and keep you safe, restrict access to our instructors, and never share it for marketing. You can ask us to remove it at any time.

5. Who we share it with

We don't sell your data. We share it only with the trusted service providers that run the studio's systems, each acting on our instructions:

  • Supabase - our secure database and accounts (hosted in the EU).
  • Stripe - payment processing (Stripe privacy).
  • Resend - sending booking confirmations and account emails.
  • Netlify - hosting this website.

We may also disclose information if required by law.

6. Where your data is stored

Your account and booking data is stored in the European Union. Some providers (such as Stripe) may process limited data outside the UK/EU under appropriate safeguards required by data-protection law.

7. How long we keep it

We keep your account and booking history for as long as you have an account with us, and for a reasonable period afterwards so we can handle queries and meet our legal and accounting obligations. After that we delete or anonymise it. You can ask us to close your account and remove your personal data at any time (we may keep minimal, anonymised financial records where the law requires).

8. Cookies & local storage

We only use what's essential to make the site work - primarily a secure token kept in your browser to keep you signed in. We do not use advertising, analytics or third-party tracking cookies.

9. Your rights

Under UK GDPR you have the right to: access the data we hold about you; correct it; have it deleted; restrict or object to how we use it; receive a copy in a portable format; and withdraw consent at any time. Much of this you can do yourself from your account page. To exercise any of these rights, email info@djsstudios.com and we'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk.

10. Children

Where we provide sessions involving anyone under 18 (for example as part of our inclusive or special-needs offering), we collect and handle their information only with the consent and involvement of a parent or guardian.

11. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it last changed; significant changes will be communicated to account holders.
